Chester Zoo is one of the United Kingdom’s most visited attractions and the country’s largest zoo by visitor numbers, welcoming over two million guests annually to its extensive grounds at Upton-by-Chester in Cheshire.
As part of its ongoing conservation and visitor experience development programme, the zoo has invested in new on-site accommodation to extend visitor stays and strengthen its position as a destination for immersive, overnight wildlife experiences. To support the handover of this accommodation development, Dewick & Associates was engaged to produce the Building Handover Manual, Electrical & Mechanical O&M Manuals and Building User Guides for the project, giving the zoo’s facilities and guest services teams a comprehensive, well-organised reference for the new building from the day it opened.
Our focus was on producing a coordinated handover documentation package that covered both the building fabric and the installed services, structured to support the operational demands of a visitor-facing hospitality building in a working zoo environment.

The Principal Contractor McPhillips delivered the Chester Zoo accommodation project, which included 51 guest lodges, communal facilities, and landscaped surroundings, all constructed to high standards of sustainability and longevity. Tourism and visitor accommodation construction of this type requires handover documentation that serves both the technical facilities management function and the operational expectations of a guest-facing hospitality service.
The builder engaged Dewick & Associates to produce a Building Handover Manual, O&M Manuals and Building User Guides that would give the zoo a complete, reliable reference at practical completion.
Constructing luxury accommodation within the grounds of Chester Zoo presents a unique set of building and documentation challenges that extend well beyond a typical hospitality development. The project must balance premium guest experiences with the operational requirements of a live conservation environment, where construction activities, site access, noise management and delivery schedules must be carefully coordinated to minimise disruption to animal habitats, visitors and zoo operations.
From a documentation perspective, the challenge lies in capturing and coordinating information across a diverse range of building, mechanical, electrical, hydraulic and specialist systems while maintaining compliance with hospitality, accessibility, environmental and life safety standards. Building fabric, finishes and external materials are often selected to complement the surrounding natural setting, requiring detailed records of products, maintenance requirements and warranties. Combined with multiple trades, specialist suppliers and a programme influenced by seasonal zoo operations, delivering a complete and accurate handover package becomes a complex and highly coordinated undertaking.
Dewick & Associates applied our proven documentation management methodology to streamline the collection, verification and coordination of project information across the extensive subcontractor and supplier network involved in the development. Using our proprietary nucleus online portal, we established a centralised workflow for the submission of product data, warranties, compliance certificates, care instructions and maintenance requirements, providing all stakeholders with clear visibility of documentation status and collection progress throughout the project.
Our in-house technical authors then transformed this information into a comprehensive suite of handover documentation tailored to the operational needs of the facility. This included a detailed Building Handover Manual covering the building fabric, finishes, fixtures, fittings and warranty obligations, alongside fully coordinated Mechanical and Electrical O&M Manuals. Each manual was structured to provide facilities personnel with clear system descriptions, equipment schedules, operating procedures and preventative maintenance requirements, ensuring the accommodation could be efficiently managed, maintained and operated from day one.
The project resulted in a coordinated building handover documentation package that supports the smooth operation of the new visitor accommodation at Chester Zoo. The zoo’s facilities and guest services teams have a complete, well-structured reference covering both the building fabric and the installed services, helping them maintain the accommodation to the standard their guests expect and manage maintenance, warranty and compliance obligations efficiently.
