The Glen Shopping Centre, located in the suburb of Glen Waverley in south-east Melbourne, was the subject of a major redevelopment that expanded the centre to approximately 78,000 m². Delivered in five stages over a three-year period, the redevelopment introduced a new town square with dining areas, a fresh food market hall and additional retail space supporting around 240 retail outlets, with works completing in early 2020. The Glen has long been a destination for residents across Glen Waverley and the wider eastern suburbs, and the redevelopment was designed to refresh the offer and reposition the centre for the next phase of its life.
To support handover across the multi-stage delivery, Dewick & Associates was engaged by the Builder to author the Building Handover Manuals for the project, alongside a Maintenance Matrix.
Our focus was on producing a comprehensive handover deliverable with a specific emphasis on content that supports the correct maintenance and cleaning of every aspect of the installation, plus a Maintenance Matrix detailing each trade’s warranty periods, MSDS and maintenance frequency requirements.

ProBuild ProBuild was engaged as the principal builder for the major redevelopment of The Glen Shopping Centre in Glen Waverley, Victoria. Delivered across five construction stages over a three-year programme, the redevelopment expanded the centre to approximately 78,000 m² and introduced a new town square, dining precinct, fresh food market hall and upgraded retail tenancies, while much of the centre remained operational throughout construction.
Given the scale and staged nature of the works, ProBuild required a documentation partner capable of coordinating complex, multi-trade information into a clear and consistent handover package. Dewick & Associates was engaged to produce the Building Handover Manuals and Maintenance Matrix, providing the centre’s operations team with a structured reference for asset information, warranty periods, MSDS documentation and preventative maintenance requirements across the full redevelopment scope.
Delivering handover documentation for a multi-stage retail redevelopment of this scale required the coordination of information from a large and diverse subcontractor base. Each trade maintained its own product data, certifications, warranties and as-installed documentation, often submitted across different construction stages and programme timeframes. Across five stages of works and approximately 240 retail tenancies, consolidating, verifying and structuring this information into a complete handover package presented a significant documentation challenge.
The complexity was further increased by the shopping centre remaining operational throughout much of the redevelopment. Documentation needed to support the centre’s facilities and operations teams in managing maintenance, cleaning schedules and warranty obligations within active retail environments. In addition, the Maintenance Matrix required the integration of trade, material and maintenance frequency information into a single, accessible reference designed to support ongoing asset management and day-to-day operational planning.
Dewick & Associates worked closely with ProBuild to develop a comprehensive Building Handover Manual tailored to the operational requirements of a large-scale retail environment. Our technical writing team coordinated documentation across multiple trades, construction stages and retail tenancies, reviewing and consolidating product literature, warranties, certifications and as-installed information into a clear and consistent handover format.
A key focus of the documentation was ensuring the centre’s operations team had practical guidance for the ongoing maintenance, cleaning and management of installed assets. This included detailed maintenance procedures, recommended cleaning methods, warranty conditions and manufacturer requirements designed to support asset longevity and operational compliance across active retail spaces.
To further streamline facilities management, Dewick & Associates also produced Preventative Maintenance Records with a detailed Maintenance Matrix that consolidated trade information, warranty periods, MSDS records and preventative maintenance frequency requirements into a single, navigable reference. By structuring complex subcontractor and asset information into an accessible format, the final deliverables provided ProBuild and the centre’s operations team with a reliable long-term resource for ongoing building management and maintenance planning.
The project resulted in a comprehensive handover package that supports the long-term operation of the suburban retail destination. The operations team has a structured record of the building fabric, finishes and supporting trades alongside a clear Maintenance Matrix covering warranty periods, MSDS and maintenance frequency requirements, helping them optimise centre performance and minimise the risk of disruption across an active retail environment.
For ProBuild, the deliverable closes out the multi-stage handover in a single, structured documentation set. More importantly, the documentation underpins a centre that continues to serve Glen Waverley and the wider eastern suburbs of Melbourne.
As part of the broader project delivery, Dewick & Associates worked closely with BSA Allstaff Victoria to develop comprehensive Mechanical Services O&M Manuals for each separable portion of the development, including the Fresh Food Market Hall, Food Gallery, Fashion and Lifestyle precincts, and the David Jones retail tenancy.
Our scope included the preparation of detailed system descriptions tailored to each area of works, supported by a thorough technical understanding of the installed mechanical services equipment and its operational requirements. The resulting documentation provided a clear, structured reference for facilities management, ongoing maintenance and future building operations across this complex retail environment.
